Short answer

What is an AI chatbot or agent?

An AI chatbot or agent is a conversational system that answers questions, qualifies leads or books appointments on your website, WhatsApp or voice line. It is trained on your pages, your product sheets and your FAQs, hooked into your CRM, and told exactly when to hand off to a person. The aim is a cleaner handoff, not a human replacement.

What changes

01

Enquiries answered out of hours

The messages that used to wait until morning get a sensible reply the moment they land.

02

Qualified leads in the right stage

Every lead the agent handles arrives in your CRM in the right stage, with the transcript attached.

03

A handoff a person can take

When the agent should stop talking, it stops, and the question goes to whoever handles it, with context.

What you get

  1. 01

An agent trained on your business

Your pages, your product sheets and your FAQs ingested, with a refusal rule when the question is outside what you want it to say.

  2. 02

    On the channels buyers use

WhatsApp, your website chat, Instagram DMs, Messenger or voice through a dedicated number.

  3. 03

    Hooked into your CRM

Qualified leads create or update a contact, log the transcript, and sit in the right stage for the right person to pick up.

  4. 04

A clean handoff to a person

When the agent should stop talking, it stops. Zain builds the integration so the handoff is instant.

  5. 05

    Weekly transcript review

We read the transcripts every week and tune the prompt and the knowledge until the handoff rate reads right.

How it works

  1. 01

Agree the job and the limits

We agree what the agent should do (qualify, book, answer, triage) and what it should never do.

  2. 02

Build the agent and the handoff

We write the system prompt, ingest your knowledge, set the handoff rules and integrate with WhatsApp, your website, CRM and calendar.

  3. 03

    Test and tune

We test with real questions until the agent holds up, then watch the transcripts weekly and tune the prompt.

An agent that answers out of hours, books the easy meetings on its own, and sends the real conversations to a person who already has the context.

FAQ

Questions we get a lot.

Will it sound like a bot?

Only if you want it to. On WhatsApp we usually say up front that this is an AI assistant and a person can take over. On a sales voice agent we keep it human but still honest when asked. Pretending to be a person who is not there is a line we do not cross.

Which models and platforms?

Claude or GPT for the brains. For WhatsApp we use the Business API through a provider (360Dialog or Wati). For the website chat we build a lightweight widget. For voice we use Vapi or Retell. For orchestration we use n8n or custom code, depending on how complex the flows get.

What happens when the agent does not know?

It says it does not know and hands off, with the question and the transcript. The one rule that matters: never make something up to look helpful. Every agent we build is told that in its system prompt and tested with trick questions before it goes live.

Does it work in Arabic?

Yes. We write the prompts and the knowledge base in both languages, and the model picks the one the user wrote in. Reply quality in Arabic has caught up quickly, and we test on real messages before launch.

What could go wrong?

The two usual faults. The agent is too confident and bluffs, which is why the refusal rule and the trick questions are in the test. Or the handoff is clunky, so a person misses the message, which is why the integration into your CRM or inbox is tested every week.

Can the agent book meetings?

Yes. We hook it into your calendar (Google, Cal, Calendly or similar), check availability live and send the invite. The booking shows up in your CRM too.

How is this different from marketing automation?

Marketing automation runs on rules you set. An agent runs on a model that reads a message and decides. The two work together: the agent handles the conversation, the automation fires the follow-up email, the ticket update and the CRM move.

What if it does not work?

You keep the knowledge base, the prompts and the integrations. We can switch the agent off and leave the handoff to a person. The usual outcome is a leaner agent, not a dropped one.

Who do I actually talk to?

Zain, for the agent, the integrations and the handoff. Momin, when it is about the tone, the knowledge and the content the agent reads. The founders stay close to every build.
