Services / CRM setup

CRM implementation your team is still using in six months

A CRM gets abandoned when nobody set it up around how the team really sells. We set up HubSpot, GoHighLevel, Zoho One and monday.com CRM around your process, then move your data in. Email, WhatsApp and calendars get connected, and your team gets training and written instructions.

Short answer

What is CRM implementation?

CRM implementation is setting up a customer relationship management tool such as HubSpot, GoHighLevel or Zoho CRM. A CRM is the one place a business keeps every lead, customer and conversation. The work covers pipeline, fields, lead routing, forms, calendars, email and WhatsApp, old data and team training.

What changes

01

One place for every lead

Enquiries from your website, WhatsApp, email and ads land in the CRM on their own, source attached.

02

Every enquiry lands with an owner

Each new lead goes to a named person within minutes, and reminders chase anything left waiting.

03

A pipeline you can read

One dashboard shows what is in the pipeline, where it came from and what is stuck.

What you get

  1. 01

    HubSpot or GoHighLevel setup

Pipeline stages named after what the buyer did, not what you did. Only the fields your team will fill in, and routing that gives each lead a named owner.

  2. 02

    Zoho One rollout

Zoho CRM for deals, Zoho Campaigns for email, Zoho Books for invoices, Zoho Desk for support. Joined up, so a won deal becomes an invoice without anyone retyping it.

  3. 03

    Migration and clean-up

We export from your spreadsheet or old CRM, remove duplicates, fix formats and map every field. A small test batch goes in first, we check the counts, then the rest follows.

  4. 04

    Email, WhatsApp and calendar connected

Google Workspace email, WhatsApp Business chats and calendar bookings all log against the contact. We also set SPF, DKIM and DMARC, the three records that keep your email out of spam.

  5. 05

    Dashboard, training and guides

A recorded training session, and short written instructions in Notion or Google Docs for each job. Reporting is a handful of numbers on one dashboard, not forty charts nobody opens.

How it works

  1. 01

    Watch how you sell

We sit with whoever handles leads and follow one real enquiry from first message to paid invoice. Every stage, field and handoff comes from that, not from a template.

  2. 02

    Build and migrate

We build the pipeline, fields, routing, forms, calendar, email and WhatsApp in your own account. Then we clean and move your data in, and your team tests it on real leads.

  3. 03

    Train and look after

We train your team, write the instructions and watch the first month of use. After that we fix what people stop filling in, and read the dashboard with you each month.

Every lead, customer and conversation in one place your team opens every day.

FAQ

Questions we get a lot.

What does a CRM implementation include?

Everything between choosing the tool and your team using it daily. We set up the pipeline, fields, lead routing, forms and calendars. We connect your email inbox and WhatsApp Business so conversations log against each contact. Where two tools have no direct link, we join them with n8n, an automation tool. We move your old data in, build one dashboard, train the team and write the instructions. Then we stay around to fix what drifts.

What do you actually do, and who does it?

Zain does the build himself: the pipeline, the fields, the routing rules, the migration and the connections. He also sets up the everyday tools around it: Google Workspace, Slack, Notion, Mailchimp, Canva and Grammarly. The CRM feeds the ones that need it, like a Slack alert for every new lead. We use AI openly, for mapping fields and drafting instructions. A person checks every setting. No juniors, no account manager in between.

Which CRM platforms do you work with?

HubSpot, GoHighLevel, monday.com and Zoho One, which bundles Zoho CRM, Zoho Campaigns, Zoho Books and Zoho Desk. We pick with you, not for you. HubSpot suits a team that lives in its inbox. GoHighLevel suits a business that runs on calls, texts and WhatsApp. monday.com suits a team that already runs its projects there and wants the sales pipeline on the same boards, end to end. Zoho One suits a firm that wants sales, email, invoicing and support under one login. If none fits your process, we build a custom CRM on a database you own. You get the code.

How long does a CRM implementation take?

It depends on the tool and the state of your data. A single HubSpot or GoHighLevel setup with clean data is usually a few weeks. A full Zoho One rollout across CRM, Campaigns, Books and Desk runs longer, often a few months. Each app touches a different part of your business. A messy migration adds time, and we would rather clean it than rush it. We give you a dated plan before we start.

What could go wrong?

The usual failure is a CRM nobody updates. It happens when the pipeline has twelve stages and the form has thirty fields. So we build fewer of both than you ask for. More get added only when the team asks. The second failure is dirty data moved in as it is, so duplicates follow you. We clean first. The third is an inbox or WhatsApp number that never gets connected. We do not sign off until every conversation logs.

Is my company too small for a CRM?

If more than one person touches a lead, you are big enough. The CRM is what stops two people calling the same customer, or nobody calling at all. What matters is the volume, not the headcount. If you get a few enquiries a week and one person handles them, wait. Use a spreadsheet or HubSpot's free tier, and call us when leads start slipping through.

What do you need from me?

Three things. An hour or two with the people who handle leads, so we see how you really sell. Admin access to your CRM, Google Workspace, website forms and WhatsApp Business number, in accounts you own. And a straight answer to one question: what counts as a good lead? Your team also tests the build on real enquiries for a week before we sign off.

What if it does not work?

Then you keep everything, because it was built in your account from day one. Before that point, we will have watched the first month of use together. A CRM that fails usually fails in a way we can see. A stage nobody moves deals through, or a field nobody fills. We change those first, because they were our call. If the team still will not use it, we say so and stop.

How do we stop?

You tell us, and monthly support stops at the end of that month. There is no long contract to run down. The CRM, the data, the connected inbox and the instructions all sit in your own accounts already. Nothing needs handing over. We never build in an account we own. Some GoHighLevel agencies keep clients in a sub-account on the agency's plan, and leaving means starting over. If you leave us, you take the whole thing with you.

Who do I actually talk to?

Zain. He builds the CRM, so the person answering you is the person who set the field up. Momin joins when the work touches email copy, campaigns, or leads arriving from content and social. There is no account manager and no support desk. You message us directly, and the reply comes from whoever did the work.
